Archiving of application files: the CENI organizes itself for better traceability
The Independent National Electoral Commission (CENI) of the Democratic Republic of Congo is in the midst of receiving applications for the elections to the provincial deputies. In order to ensure efficient archiving and optimal traceability of files, the CENI has taken measures to guarantee better archiving of candidate files already received.
As part of this initiative, the Deputy Quaestor of the CENI, Ms. Sylvie BIREMBANO BALUME, paid a visit to the archives service located at the headquarters of the institution. Accompanied by the Directors of Documentation and Archives, Nicaise IBULA and Logistics, Hiller KAMBALE, she made sure that all the prerequisites were met to facilitate the archiving of files.
During the visit, Mrs. BIREMBANO BALUME interacted with the agents in charge of the archives service, in order to understand the process of processing the files before their archiving. She indicated that the files were received packed in bags, then subjected to several checks before being archived in envelopes. Checklists are used to ensure the absence of errors and the files are then placed in archive boxes, with adequate layout of the premises and shelves for better organization.
This initiative aims to respond to the large flow of applications received by the CENI. While the institution expected to receive 20,000 applications for provincial deputies, it has already registered more than 25,000 applications for the national legislative elections, and expects to receive more than 40,000 for the provincial elections. It is therefore essential to set up an effective archiving system to ensure optimal management of these files.
In short, the CENI intends to implement archival standards to guarantee quality archiving and traceability of candidate files. This initiative will facilitate the monitoring and management of candidacies throughout the electoral process.
